BlancoLab privacy policy

This policy applies to the two kinds of tools that BlancoLab develops and operates: (1) the messaging assistant on WhatsApp and Instagram, and (2) the email, document and notification automations. Each one has its own sections below.

Messaging assistant (WhatsApp and Instagram)

The messaging assistant on WhatsApp and Instagram is developed and operated by BlancoLab on behalf of client businesses, including Suela Limpia (professional shoe cleaning, Maracay, Venezuela; Instagram account @suelalimpia.mcy, WhatsApp +58 422-1639683).

What data we collect

When you write to one of these businesses on WhatsApp or Instagram, we store:

  • Your WhatsApp number or your Instagram username, and the visible profile name that the platform itself shares with us.
  • The content of the messages you send us (text, photos of your shoes, voice notes, documents).
  • Your location, only if you choose to share it from WhatsApp to arrange a pickup or delivery.

We do not ask for or store payment details, passwords or identity documents.

What we use this data for

  • Answering your questions about services, list prices and hours.
  • Following up on your case (drop-off, cleaning, delivery) for as long as the service lasts.
  • Arranging pickup or delivery when you share your address or location.
  • Letting you know through an approved WhatsApp template when your order is ready, if more than 24 hours have passed since your last message.

An automated assistant replies first, following a fixed script (list prices, service areas, hours). It never makes up prices or promises a result on the material. When your case falls outside that script (a price not on the list, a complaint, or damage to the material), a team member handles it directly.

Voice notes

If you send us a voice note, we convert it to text with an automatic transcription service so the team can read it quickly. Only the audio is sent for that conversion, through OpenRouter, which processes it with an artificial intelligence model from Google. We require that provider not to store the audio or use it to train models, and if it cannot comply, the audio is not transcribed. The audio and its text are stored in your conversation just like the rest of the messages, and they are deleted if you ask us to delete your information.

Email, document and notification automations

BlancoLab also develops automations that, with the express authorization of the person or business that owns the account, read certain Gmail emails, organize their information and display it in a Google Docs document and in Telegram notifications. One example is tracking the status of purchase orders based on a store's confirmation, shipping and delivery emails.

To do that, and only with your permission through Google sign-in, we may access:

  • The emails in your Gmail account that match the filters defined for each automation, for example emails from a specific store sent to certain addresses. We do not process the rest of your inbox.
  • A Google Docs document that serves as a dashboard and that the automation updates.

From those emails we extract only what the function needs: order number, recipient email address, shipping status, delivery postal code, the subject and an internal message identifier. With that we build the summary and the notifications. We do not use the content of your emails for advertising, to build profiles or to train artificial intelligence models, and we do not sell it.

Notifications are sent through Telegram only to the account of the authorized person. Telegram handles those messages according to its own privacy policy.

Information obtained from Google APIs

The use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We only use that information to provide the function you asked for. We do not transfer it to third parties except when necessary to provide that service, to comply with the law or when you authorize it. No person reads your emails, unless you authorize it to fix a technical fault, for security reasons or because the law requires it.

You can revoke access at any time from myaccount.google.com/permissions and ask us to delete whatever we have stored.

Who we share this data with

We do not sell or share your data with third parties for advertising. The data lives on the technical infrastructure we use to operate the service: Meta's official WhatsApp/Instagram API (to send and receive messages) and our database and hosting providers (Supabase and Vercel), both under industry-standard confidentiality agreements. For voice notes we also use OpenRouter and the Google model it relies on, as explained above.

For the email automations we also use Google (Gmail and Google Docs), Telegram for notifications and BlancoLab's own server where the automation runs. We do not share that data with anyone else.

How long we keep your data

We keep your conversation history and your case for as long as you are an active customer of the business. You can ask us at any time, through the same WhatsApp or Instagram chat, to delete your information; we do it manually within a reasonable time.

Automations: where and for how long we keep the data

The automations run on BlancoLab's own server. There we store the summarized status of each order (number, status, postal code, recipient email address, subject and message identifier) for as long as the automation is active, and that summary also appears in the authorized person's Google Docs document. The server's technical execution log may temporarily keep the content of the processed messages and is purged periodically. When the person asks, or when they turn off the automation, we delete the stored status and revoke access to their account.
